Privacy policy

TrackerPlus is practice management software for architecture and design practices. This policy explains what information we collect when you use the website, the live practice, or a TrackerPlus workspace, why we collect it, and how it is stored and shared. It is written to describe what the product actually does. If anything here is unclear, contact us.

Who we are

TrackerPlus is operated by Detail X Studio, an architecture and documentation practice in Australia. When we say “we” or “us” we mean Detail X Studio as the provider of TrackerPlus.

Information we collect

Your workspace

When a practice creates a workspace we collect the account holder’s name and work email, the practice name, and, when a plan is chosen, billing details. Card details are collected and stored by our payment provider, Stripe; we never see or store full card numbers.

What your practice puts into TrackerPlus

Everything a practice records to run itself: projects, fee proposals, tasks, time entries, drawings and markups, comments and issues, client, consultant and contractor contacts, leave, overtime, expense and payroll records, and the settings that govern them. Some of this is personal information about your staff and your clients. Your practice controls it and is responsible for having the right to record it; we process it to provide the service.

Connected services

If your practice connects Xero, Slack or Dropbox, we store the access tokens those services issue and the data the connection needs: for example Xero contacts, invoices and the expense accounts you select as overhead; the Slack channels linked to projects and the messages in linked external channels when channel monitoring is switched on; and the Dropbox folder paths you nominate. You can disconnect a service at any time from Settings, which stops further access.

The live practice

To enter the live practice we ask for your name and work email, and may ask for your practice name. We keep these as a record of interest so we can follow up. The live practice itself is an anonymised copy of our own practice’s data; anything you enter there is deleted when it is rebuilt each night.

Usage and technical information

Like most web applications we record server logs (IP address, browser, pages requested, timestamps) and, for practices using the application, which features are used. We use this to keep the service secure, to fix problems and to understand which parts of the product are valuable.

How we use information

  • To provide, maintain and support the service for your practice.
  • To bill your practice for the seats it uses.
  • To send transactional email: invitations, review notifications, reminders, payslips and account notices.
  • To respond to a request to be contacted, including after a visit to the live practice.
  • To keep the service secure and to diagnose and fix faults.
  • Where your practice enables it, to run automated analysis such as channel monitoring or deadline projections; these produce signals for people in your practice to review.

We do not sell personal information, and we do not use your practice’s data to advertise to anyone.

Who can see what

Within a workspace, access follows the role your practice gives each person. Staff see their own HR records. Owners see the practice’s financial views. Clients, consultants and contractors invited to a portal see only what your practice shares with them, never your costs, wages or margins. Our own staff access a workspace only to provide support, and only as far as needed.

Sharing

We share information only with the providers we need to run the service, each bound to use it only for that purpose:

  • Hosting and storage providers for the application and uploaded files.
  • Stripe for subscription billing.
  • Email delivery providers for transactional email.
  • Xero, Slack and Dropbox, only when your practice connects them and only for the data the connection needs.
  • AI model providers, only for the optional analysis features your practice switches on, and only the text those features analyse.

We will also disclose information where the law requires it.

Storage and security

Data is stored on infrastructure we control, with encryption in transit and at rest for uploaded files, and sensitive fields such as salaries and integration tokens encrypted in the database. Access is restricted and logged. No system is perfectly secure; if we become aware of a breach affecting your practice we will tell you promptly.

Retention and deletion

Your practice’s data is kept for as long as the workspace exists. When a workspace is closed, its data is deleted after a short period that allows for reactivation. Audit history within the application is kept for a limited time as described in the product. Records of interest from the live practice are kept until you ask us to remove them.

Your rights

You can ask us what personal information we hold about you, ask for it to be corrected or deleted, and complain if you think we have handled it badly. Australian users have rights under the Privacy Act 1988; users elsewhere may have rights under their own laws. For information your practice holds about you inside its workspace, contact your practice first; we will help them respond.

Cookies

The website and application use cookies for signing in, keeping your session, remembering your preferences and basic usage measurement. We do not use third-party advertising cookies.

Changes

We will update this policy when the product changes in ways that affect it, and change the date above when we do.
