Document Control
Know what was issued. And who opened it.
Each stage of a project keeps its own register, RFIs and addendums. Issue documents with a transmittal sheet and a download link for each person, and see exactly who has looked.

Phases
Schematic Design to Construction, each with its own numbering.
Add a phase for each stage, or any name you like. RFIs start again at RFI-001 in every phase, so construction’s first question is not RFI-047. Close a phase when the stage is done and it becomes read-only.
Barker St’s three phases: Schematic Design and Planning closed, Construction active with open RFIs, a draft and three issues.
- Every tender gets its own Tender phase automatically, with its register, RFIs and addendums already there.
- With project folders in TrackerPlus Files, each phase and discipline gets its own folder.
The register
One current revision, and the history behind it.
Upload documents in bulk by discipline. Uploading a new version supersedes the old one and keeps the chain; every download, by staff or through a portal, is counted.
The architectural sheets in the Construction register, with their revisions, issue dates and download counts.
RFIs and responses
Questions in. Numbered answers out.
Log RFIs, split part of a question into a sub-RFI and link duplicates so one answer covers them. During tender, answers go out as addendums; during construction they go to the builder as RFI Responses, written for the building contract. AI Rewrite turns rough notes into formal wording for either.
RFI-002 on the bathroom set-downs, with a sub-RFI on the floor-waste falls.
RR-01, a draft answer to the builder’s window head flashing RFI.
Transmittals
Issue a set. Watch it land.
Pick documents from the register and people from the project’s distribution list, which suggests its consultants and contractors. Each person gets an email with a transmittal sheet PDF, the drawings when they fit, and their own download link that needs no login.
Three transmittals and a draft, with how many recipients were sent, viewed and downloaded, and one bounced address.
Every recipient, accounted for.
- Sent, Viewed, Downloaded or Failed for each person, with when and how many times.
- Resend with a fresh link, copy a link to send another way, or revoke every link on the issue.
- Recipients download each document or everything as one zip, and can fetch the transmittal sheet again.
TX-003: viewed by Clearspan, downloaded three times by Rivulet, and a bounced address at Ember.
Consultant and contractor portals
Their own record of everything you sent them.
Consultants and contractors with a portal login find every transmittal issued to their firm under Documents, by project and phase. Links there never expire.
Tom Chen of Clearspan Engineering sees the transmittals issued to Clearspan across Marlow Terraces and Barker St.
